Monthly manufacturing shift schedule: Excel template
Download a blank shift schedule in XLSX or CSV. Assign people to work areas, record day and night shifts and check open positions before publishing the plan.
No registration required. The XLSX file contains instructions and a blank form. A responsible person checks totals and your plant’s working rules.
What the schedule needs to show
A manufacturing schedule needs more than names and working days. The shift supervisor needs to know who covers a particular position on a particular shift. The planner needs to see absences, replacements and the version already shared with the team.
In this template, one row represents one employee assignment to an area and shift. Add separate rows for additional people in that area. Repeat the staffing requirement so a review can identify unfilled positions. An empty assignment means an open position, not confirmed attendance.
The file is a blank schedule for manual entry. It does not assign people automatically. Save a separate copy before changing a plan already shared with workers.
How to fill in the template
- Choose the month, unit and person responsible for the plan.
- List each area’s shift types, start and end times and staffing needs.
- Record approved absences before assigning workers.
- Check the skills and permissions required for the work.
- Assign employees and check for overlapping assignments.
- Agree open positions and replacements with the responsible manager.
- Save the approved version and tell the team which plan is current.
For an overnight shift, include the date at both ends. For example, a shift starts on November 1 at 20:00 and ends on November 2 at 08:00. The entry “20:00–08:00” without dates is easy to misread. Check time on site separately from paid working time, using the agreed break rules.
An illustrative two-on, two-off pattern
This fictional example explains coverage only. One area needs one person on the day shift and one on the night shift. For the first two days, worker A covers days and worker B covers nights. For the next two days, workers C and D take those positions while A and B are off. The cycle then repeats.
If each shift needs two people, every shift needs a second assignment. A “two-on, two-off” label does not prove adequate coverage. Leave, a missing skill or a transfer to another area can still leave a position open.
This example does not establish permitted hours or a day/night rotation policy. Before using it, the responsible person checks working arrangements, rest requirements and the plant’s rules.
Checks before publishing
- Every required shift has enough assigned people.
- No employee has overlapping shifts.
- Approved absences are included.
- Required skills and permissions are confirmed.
- Overnight shifts have the correct end date.
- Replacements are agreed and workers know their plan.
After work begins, record actual arrivals and departures separately. The schedule records an agreement; it does not prove hours worked. When a plan changes, retain the previous version, reason and person who made the change.
How this connects to Vakhta
In Vakhta, the planner prepares assignments by employee or work area and checks open positions and conflicts before publishing. Workers receive their published plan in Telegram. The shift supervisor sees actual attendance in the operations panel.
Start with one area: prepare its agreed working pattern and compare the plan with attendance over one cycle. The template helps prepare source information; downloading it does not import a schedule into Vakhta.
